From application to catalog, shipment and settlement
An illustrative image of store administration and transactions. — General illustrative photo.
Activating a Hepsiburada store involves connected stages: business information, documents and contract, account approval, accurate products and shipping you can fulfill. Completing registration while leaving invoicing or stock information unfinished may produce a ready storefront without controlled sales operations. Prepare the operating file alongside the application, then start with a limited product whose source and cost are known.
This is a seller guide for the Turkish market, rather than a shopping or buyer-account guide. It follows Hepsiburada İş Ortağım, separates account approval from product readiness, and explains category tariffs and fulfillment choices. Financial examples are hypothetical; actual application depends on contracts, current tariffs and product and service circumstances. Businesses established abroad or using foreign representatives need confirmation of their acceptance route before committing to stock or advertising.
Choose the seller type matching the actual business
The official starting page lets applicants select seller type and apply through Hepsiburada İş Ortağım. It shows Standart and Girişimci Kadın, the women's ownership program, requiring a woman to own 51% or more for that route. Do not select it merely because a female employee will manage the store; employment differs from entity ownership.
Seller programs may include benefits and campaigns with dates, limits and conditions. Retain accepted terms rather than basing permanent budgets on temporary advertising support or commission discounts. Separate program selection from legal company type and product eligibility; success in one does not replace the others.
Define the initial test: an available product, a price covering costs and a clear shipping service. Name document, catalog, shipping and accounting owners. Even if the owner holds every role, keep the sequence clear so verification messages and customer orders are not lost while preparing new stock.
Prepare entity and foreign-representative details
Begin with legal name, tax number, addresses and proceeds account, then ask for the checklist for your entity type. Use precise Turkish names in preparation: Vergi Levhası for tax information, İmza Sirküleri or İmza Beyannamesi for signing evidence as applicable, and Ticaret Sicil Gazetesi where trade registration applies. This is not one compulsory list for everyone; current fields and verification requests determine requirements.
For foreigners, separate incorporation, the right to work within Türkiye, and platform and bank acceptance. Turkish company ownership does not automatically secure account approval, and residence alone does not establish eligibility for every activity. Ask about representative identity, translation, certification, authorization and banking before incurring nonrefundable costs.
If you only have a foreign company, do not enter a Turkish address you do not operate to make the application appear domestic. Ask about that entity's route and tax and fulfillment requirements. Use correct documents for the actual contracting party and retain case-specific support correspondence.
Follow activation stages in the dashboard
The official page describes a new application, completion of information and documents, contract acceptance and team assessment. Information is completed under Hesabım-Bilgilerim, while documents and the contract appear under Hesabım-Belgelerim. The page says rejected documents receive an explanation of necessary changes; correct that reason rather than repeatedly uploading the same file.
Keep a simple log of application dates, documents, statuses, comments, corrections and follow-up dates. Retain complete uploaded versions so you know what was reviewed. Check linked email regularly because comments may arrive there alongside dashboard status.
Do not assume a universal activation time. Account-creation messages do not equal sales approval, and approved accounts do not guarantee every category or product. Before advertising, verify active status and an actual listing. If representatives or addresses change during application, update registers, documents and accounts together.
| Stage | What to complete | Evidence for proceeding |
|---|---|---|
| Application | Seller type and login details | Application recorded in the business's name |
| Account information | Matching name, tax and addresses | Complete fields without material differences |
| Documents and contract | Upload requirements and review the contract | Accepted documents and retained contract |
| Application assessment | Follow and correct comments | Active status and activation notification |
| Product launch | Complete content, price and stock | Sale-ready listing matching the goods |
Read commission schedules and contracts together
The starting page links category commission schedules and carrier tariffs based on volumetric size. Commission files distinguish categories and product groups, commission, its tax and proceeds timing. You therefore need the actual product classification rather than only the broad department name before using figures.
Save the downloaded tariff with its date, contract and annexes. Ask about the commission base, discounts, returns, extras and when the payment term starts for your case. If general promotions differ from your account, request written clarification before pricing substantial stock around them.
Do not apply electronics rates to clothing or assume low commissions include shipping, advertising or storage. Calculate post-promotion costs too. Opening offers or special programs may help but do not establish every future order's cost. Compare the same product, packed size and fulfillment method.

Distinguish catalog products from your store's offers
An existing Hepsiburada catalog product may accept your matching offer, or new product data may need creation and review. Match brand, model, barcode, size and contents rather than the general image. Linking a single-item offer to a two-item bundle page misleads even if names are similar.
Platform documents distinguish hbSku, the platform product identifier, and merchantSku, linking it to seller records. Maintain clear mapping to actual goods and your offer's price, quantity and preparation time. A shared catalog product does not make other sellers' stock yours or their offers applicable to you.
Create a profile for each variant with barcode, warehouse code and correct color or size image. Follow matching and review status for new products until actually ready. If a category or attribute is rejected, correct it from product sources rather than choosing random values to bypass fields.
| Field | How to use it | Check before saving |
|---|---|---|
| Brand and model | Identify the actual product | Match packaging, invoice and sample |
| Barcode | Distinguish product or variant | Do not link another bundle or size |
| hbSku | Product code in the platform catalog | Retain with the matching item |
| merchantSku | Your internal item code | Link to shelf stock and actual quantity |
| Price, stock and preparation | Define your store's offer | Ability to deliver the displayed offer |
Prepare content without copying supplier claims
Images and descriptions establish expectations before receipt. Write a clear market-language title naming type and key specification, then material, dimensions, contents and suitable use. Show the bundle actually sold and clarify excluded accessories.
Retain image-use rights, whether through your own photography or owner permission. Buying goods does not automatically permit copying another store's images or descriptions, and supplier invoices do not make you an authorized brand distributor. Where category documents or permissions are needed, establish their names and covered products before submission.
Test descriptions against actual samples. Paper dimensions are insufficient if batches vary, and screen-color images may need lighting explanations without concealing genuine differences. Review pages on phones and identify information customers need to decide. This guide's illustrative images explain the subject rather than provide ready-made listing materials.
Control stock and integrations from one source
Choose a master stock record and update the dashboard or connector from it. Deduct reserved orders, damaged goods and quantities allocated elsewhere before determining saleable stock. Large numbers in suppliers' spreadsheets do not prove delivery capacity within the advertised time.
Begin with a small range traceable manually, then integrate when synchronization becomes necessary. Review current portal documents with the provider and test products, prices, quantities, order receipt, cancellation and returns. Technical submission success does not replace checking processing status and service errors.
Restrict keys and permissions to those needing them and assign synchronization-failure monitoring. If a connector stops, reduce availability or pause uncertain items until repaired instead of selling potentially exhausted stock. Preserve code mapping and order history when changing connectors to prevent duplicate listings or double reservations.
Choose fulfillment appropriate to the product
Distinguish carriers collecting packed parcels from services storing and preparing orders. HepsiJet concerns shipment transport, while HepsiLojistik offers stock receipt, storage, picking, packing and dispatch. Opening a store does not activate every service or establish one price for every product and location.
For your warehouse, define collection times, boxes, protection and closed-parcel dimensions. Match service to dashboard and contract, asking accepted areas, sizes and items. For service warehouses, obtain receiving, labeling, counting, return and withdrawal terms before sending goods, including records of accepted and damaged quantities.
Outsourcing may reduce daily tasks while adding costs requiring calculation and monitoring. Compare the complete product cycle, from warehouse entry to return or withdrawal, rather than only parcel dispatch. Fast-delivery promises depend on product, service, area and stock eligibility, so cannot cover every order universally.
| Fulfillment method | Who prepares orders | What to confirm first |
|---|---|---|
| Your warehouse with an available shipping service | Your team picks, packs and hands over | Address, collection, tariff and dimensions |
| HepsiLojistik storage and preparation where accepted | Service center under the agreement | Receiving, storage, packing and withdrawal |
| Returns to your warehouse or agreed service | Party specified in the contract | Address, inspection, records and costs |

Fulfill the first order with clear evidence
Open the dashboard order, read item, quantity, variant, deadline and payment status, then reserve the physical goods. Inspect before packing and match contents to the page's promise. Similar shelf products do not justify changing colors or models without the correct process and necessary agreement.
Issue the appropriate business-system invoice and link it to the order. Prepare the label for that parcel and verify shipping details without sharing customer data beyond operational necessity. Use the approved carrier and retain receipt evidence and tracking; label creation does not prove warehouse departure.
Monitor shipment movement after handover, particularly absent carrier receipt or stalled tracking. Inquiries should include order, tracking and dates rather than only 'it did not arrive.' After completion, record one discovered problem and resolution time so operations change before more orders arrive.

Handle orders and returns by their cause
Create a return procedure covering order, reason, deadline, address, receipt, condition photographs and inspection. Separate changed minds, defective goods, wrong items, shortages and damage. One refusal text cannot serve every case; the reason and product determine what needs assessment.
Distance-selling consumer rights persist on platforms. Do not automatically exclude all appliances or opened products from withdrawal, or turn a specific product-and-condition exception into a general policy. Use dashboard routes and current order instructions during disputes while respecting legal duties.
Do not place returns directly into saleable stock. Check identification, contents, condition and packaging to establish whether they can be sold in the same condition. Review invoices, commission, shipping and settlement effects. Appeals need clear relevant documents; retain decisions and changes preventing recurrence.

Reconcile proceeds with order profitability
Track sales, expenses and bank settlement as connected records. Commission schedules include proceeds terms differing by items and categories; do not promise suppliers every payment arrives after one universal period. Verify the trigger, delivery and return status and statement items.
A fully hypothetical lira example: analytical sales 1200, goods 620, assumed commission 180, shipping and packing 90, advertising 60, leaving 250 contribution before fixed costs and tax reconciliation. This is neither a Hepsiburada tariff nor a profit promise. If goods cost increases by an assumed 50 and other items stay unchanged, contribution becomes 200.
Review expected-versus-statement differences: seller-funded discounts, returns, services or tax withholding separate from commission. Give fee invoices and order records to the accountant rather than classifying every transfer reduction as commission. Use initial results to choose replenishment quantities, expanding when fulfillment and finances stabilize.
| Hypothetical item | Amount in lira | How to read it |
|---|---|---|
| Analytical sales amount | 1200 | Not the expected bank transfer |
| Goods cost | 620 | Hypothetical item cost |
| Assumed commission | 180 | Not an actual rate or category |
| Assumed shipping and packing | 90 | Vary by service and dimensions |
| Assumed advertising | 60 | Separate component of order costs |
| Contribution before fixed costs and taxes | 250 | 1200 − 620 − 180 − 90 − 60 |

FAQs and readiness check
Does an active account mean all products are displayed?
No. Account activation and catalog-offer matching or new-product acceptance are separate stages. Verify product status, price, quantity and variant before advertising or treating items as available.
Does the women-seller program always mean lower commission for every item?
Do not generalize program or welcome benefits. Verify eligibility, category, duration, limits and contracts. Retain your account's tariff and calculate costs after discounts expire too.
Does HepsiLojistik remove my product and invoice responsibilities?
The service defines agreed storage and fulfillment tasks, but product sources, contents, data and business invoices still need control. Explicitly agree its tasks and how to review stock, damage, returns and withdrawal.
