An exchange lets you complete part of your education at another university and experience different teaching approaches. Success begins before travel: confirm the institutional agreement, choose suitable courses and establish how they will be recognised on return. Erasmus+ involves applications, selection, institutional nomination, host admission, a learning plan and financial arrangements. Accepted is not a sufficient description of all these stages. Understanding them helps you make realistic decisions, track missing documents and avoid planning a trip around an outcome whose academic or financial conditions remain unresolved.
Preparing an application for study
Identify the exchange framework
Erasmus+ covers several activities; not every opportunity is the same kind of semester abroad. This guide concerns university study exchanges and courses, rather than traineeships. Check the project code, mobility type, qualification level, partners and direction. A KA131 project, a KA171 international-cooperation route and a bilateral exchange outside Erasmus may follow different eligibility and funding rules. Retain the project name and cycle from your university’s announcement.Identify the sending and receiving institutions. Students enrolled in Turkey normally start with their Turkish institution when seeking study abroad. Students enrolled elsewhere who want a semester in Turkey normally start with their home exchange office and its agreement with the Turkish host. A partner listing does not open every department to you. Check the subject, level, places and period covered. An appealing destination is insufficient if the agreement or available courses do not suit your degree.
Check international-student eligibility separately
Foreign nationality alone does not establish exclusion, and Turkish university enrolment does not guarantee eligibility. Some institutions accept international applicants, but project, cycle, academic status and departmental agreement conditions still need checking. Ask the exchange office about your registration category, destination restrictions and previous participation. Supply necessary details privately. Incoming students should check host conditions after establishing that their sending institution can nominate them.Review language requirements at both institutions. A result used for home selection may not be the evidence the host requires. Individual courses may also use a language different from the university’s name or exchange webpage. Verify the language of the courses in your intended semester. For accessibility or learning support, contact the appropriate offices at both institutions early. Exchange admission does not automatically determine support provision or its application process.
Selection, nomination and admission are separate
Home selection means you passed an internal stage under the announcement. The university may then nominate you through the institutional channel. You must complete the host application, supply its documents and obtain the necessary admission. Nomination and student-application deadlines can differ. Ask who sends the nomination, how receipt is confirmed, when your application becomes available and what to do if host instructions do not arrive as expected. An expression of interest to a lecturer or department cannot replace required nomination. You can ask about courses, but involve the exchange office in questions affecting the plan. If your name appears in results, check whether participation is funded, without a grant or conditional. Avoid major financial commitments based only on a list heading. Track stage, document, responsible party, deadline and status to distinguish your tasks from institutional tasks and detect delays early.
| Stage | What it confirms | What remains to follow up |
|---|---|---|
| Internal selection | Your result under the sending institution’s notice | Nomination and funding status |
| Institutional nomination | Your university has submitted your name to the host | The host application |
| Host admission | Approval to study under host conditions | Courses, plan and documents |
| Learning agreement | An academic plan approved by the parties | Changes and recognition after successful completion |
| Grant agreement | Defined funding obligations | Actual participation, reports and final reconciliation |
Choose courses around learning and your curriculum
List the requirements your degree must cover during your absence, then consult the host catalogue for the relevant semester. Compare outcomes, level, language, workload credits and prerequisites. Matching titles are insufficient; do not assemble appealing courses without knowing where they fit. Ask your departmental coordinator whether they cover compulsory, elective or grouped requirements: “If I successfully complete this approved group, which part of my degree plan will it satisfy?”Confirm exchange-student access, places, restrictions and timetable clashes. Prepare academically suitable alternatives, without treating them as approved before the parties agree. Check total semester workload under programme rules and distinguish course count from credits. A smaller group can meet the expected load where a larger one does not. Attendance alone is insufficient if pass requirements or approved-plan coverage are missing. Ask how unsuccessful results will be handled before departure.
The learning agreement supports recognition
The agreement specifies host courses and their relationship to your home programme. It requires approval from authorised people, not anyone familiar with your subject. Check titles, codes, ECTS and home requirements covered, and consistency with necessary academic decisions. An unapproved draft is not a final agreement. Establish the signing platform and how you will verify that all approvals are complete.Under Erasmus, recognition of successfully completed courses covered by the approved agreement is an institutional commitment implemented through a clear process. That does not mean any independently chosen course counts automatically or that accumulated credits meet every graduation requirement. You prepare the appropriate plan, document changes and submit results; the institution implements recognition under its approved commitments and decisions. Ask how courses appear in the record and where final documents are submitted, avoiding repeated explanations after return.
Completing paperwork for study
If courses change after arrival
A course may be cancelled, clash with another or use an unexpected language. Do not substitute silently and wait until semester end. Inform both coordinators and the exchange office, proposing the removed and replacement courses and explaining the effect on credits and requirements. Use the learning-agreement amendment procedure within the applicable deadlines. Clarify conflicts between an old host webpage and current project guidance.Keep the approved amendment and check it against actual registration. A general approval to change a course is insufficient without identifying the course, credit and recognition. If no suitable alternative exists, discuss the academic consequences before continuing with an incomplete plan. Do not exceed your capacity merely to repair credit totals or drop a core requirement for an easier substitute. A sound amendment preserves learning goals and recognition while allowing timely decisions.
Treat funding as a written agreement
Academic selection and funding are connected but not identical. Participation may be without a grant, funded for part of the period or paid after specific steps. Read the announcement and your contract: amount, duration, instalment conditions, reports and reconciliation if participation changes. Do not copy a classmate’s budget; their project, destination, duration or support status may differ. A grant does not necessarily cover every expense.Budget for the full period and separately for the time before the first payment. Include essential costs, early commitments and a reasonable allowance for changes. For inclusion or fewer-opportunities support, establish eligibility, evidence and approval before treating it as confirmed money. Withdrawal, a shorter stay or incomplete obligations may change the settlement. Ask how a change affects your particular agreement and do not treat remaining funds as final before reconciliation.
A hypothetical cancelled-course example
A Turkish university nominates Layan, an international media student, for a semester with a partner abroad. Her approved plan includes Discourse Analysis covering a home requirement, plus electives. The host cancels the class when registration opens. She finds Digital Communication but does not assume a similar title makes it suitable. She sends the description, outcomes and credits to her coordinator and identifies the requirement left uncovered. The coordinator requests a closer alternative, and the parties approve a specific amendment after discussion. Layan retains it, checks registration and asks whether funding conditions are affected. At semester end she submits the official transcript and participation evidence, then tracks recognition in her record. The plan does not guarantee examination success; it clarifies recognition if she passes. The solution is an appropriate, approved and documented plan, not simply any additional course.
Compare both academic calendars
Host semesters and examinations may not align with your home university. Compare calendars before fixing the period and identify home attendance or submission obligations during absence, especially extended projects or courses offered only at certain times. Ask how overlap is handled officially. Exchange status does not automatically waive every home obligation, and an approximate examination date is insufficient where travel depends on it.Compare host result dates with the next home registration period. If the transcript arrives later, ask how to handle courses dependent on it and whether an approved temporary document exists. This establishes a process rather than bypassing conditions. Keep contact details for someone able to confirm results officially; an unapproved screenshot is not a substitute for a required document.

Tracking exchange from planning to return
| Stage | Document or confirmation | What to check |
|---|---|---|
| Before travel | Host acceptance and learning agreement | Courses, language and approval |
| Funding | Agreement and grant status | Amount, timing and settlement |
| During study | Approved amendments | Actual courses reflected in the plan |
| After return | Transcript and participation evidence | Implemented recognition and matching records |
Organising documents and an online application

Return is part of the exchange
Before leaving the host, establish how and when the transcript and participation evidence are issued and delivered. Check names, codes and dates and report errors. Results may follow departure, so retain an effective contact and account-access arrangements. On return, submit required documents and reports and monitor recognition in the sending institution’s record. The end of travel does not end every academic or financial obligation. For delayed recognition, provide the approved plan, passed courses and submitted documents with dates, and ask which stage remains. Do not start renegotiating an approved plan unless a discrepancy requires correction. For an unsuccessful course, ask how to complete the home requirement and how it affects the next plan. Do not conceal the result or assume other credits automatically compensate. Clear follow-up distinguishes a recording error from an unmet academic requirement.

Checklist and frequently asked questions
Before committing, confirm project, departmental agreement, level, eligibility and course languages. Separate selection, nomination and host deadlines. Approve the learning plan, alternatives and change procedure. Read funding status and agreement and budget for starting participation. Track registration and results during the semester; arrange the transcript, participation evidence and reports before return. Afterwards, verify recognition and financial reconciliation. Adapt this checklist to the institution and cycle.Does nomination equal host admission?
No. It is an institutional stage; the host application, conditions and admission remain necessary.
Can I participate without a grant?
The project may permit it under the announcement and procedures. It remains an organised exchange with academic and documentary obligations.
Does a university agreement mean courses are in English?
No. Check the actual semester’s teaching languages and host language-evidence requirements.
Will every passed course be recognised?
Recognition relates to the approved plan and agreed amendments. Resolve extra courses or changes through the official process before relying on them.
