Translation, notarisation and an apostille serve different purposes. Start by asking the receiving authority exactly what it needs, where the document was issued and where it will be used. This avoids paying for a certification that does not satisfy the application requirements.
1. What each service does
- Sworn translation — yeminli tercüme: a translation prepared and signed by a translator accepted for the relevant procedure. In Turkish notarial work, the translator's qualification and sworn declaration must meet the notary's requirements.
- Notarisation — noter: an official notarial act, such as certifying a signature, copy or translation in the required form. The act being certified matters; notarising a copy is not the same as certifying a translation.
- Apostille: a certificate authenticating the origin of a public document for use under the Hague Apostille Convention. It verifies the signature, official capacity and seal or stamp as applicable, rather than the truth of the document's contents.
2. Typical situations
- Residence, visas and public administration: a Turkish translation may be required, sometimes with notarisation and authentication of the foreign original.
- University applications and qualification recognition: the institution may require an authenticated diploma or transcript as well as a translation. Check its exact checklist.
- Marriage, divorce and family records: the original certificate or judgment, its finality where relevant, authentication and translation may all need separate attention.
- Banks, companies and powers of attorney: ask what form of original, signature certification and translation the receiving institution accepts.
3. Follow the route for the document's country of origin
For a foreign public document to be used in Türkiye:- Obtain the original or the certified version accepted by the Turkish receiving authority.
- Establish whether an apostille, consular legalisation or a treaty exemption applies.
- Where required, obtain the apostille from a designated authority in the document's country of origin. A Turkish office cannot simply apostille a foreign public document as though it had issued it.
- Arrange the Turkish translation and any required notarisation. Ask whether the apostille and all seals must also be translated.
- Submit the complete set in the required order, retaining copies and proof of submission.
Obtain the document in the accepted form, confirm whether its origin requires an apostille or another authentication route, and use the designated competent Turkish authority for that document category. Then meet the destination authority's translation requirements. If the relevant public act is a Turkish notarial certification, it is that notarial act which may require authentication.
The frequently suggested sequence “translation → notary → apostille” is therefore not a universal rule. The correct sequence depends on which document or certification is being authenticated and the country in which it originated.
4. Why quotations differ
- The language pair, document type, length and formatting.
- The number of certified copies and whether each needs a separate notarial act.
- Normal or urgent turnaround.
- The applicable notarial charges and any authentication, courier or agency costs.
5. Errors that commonly delay a file
- A name or date of birth that does not match the passport or underlying record.
- Missing translator certification, signatures or other elements required by the notary or recipient.
- Certifying a copy when the authority requested a notarised translation, or vice versa.
- Omitting a reverse-side stamp, barcode, attachment or apostille page.
- Assuming an apostille validates the document's substantive contents or replaces every other requirement.
- Submitting a difficult-to-replace original without retaining a copy or confirming whether it will be returned.
6. Before leaving home
- Check that the Latin-script name is consistent with the passport, and identify any discrepancy needing explanation.
- Make clear copies of every page, including stamps and attachments.
- Confirm the exact combination: translation only, notarised translation, authentication of the original, or additional steps.
- Ask whether the document must be recently issued and how many originals or certified copies are required.
- Keep at least two backup copies where practical and retain the translator's contact details for any necessary correction.
A message to the receiving authority
Code:
Hello,
I need to submit [document name], issued in [country], for [purpose].
Please confirm:
1. Whether the original needs an apostille, consular legalisation or another authentication, or whether an exemption applies.
2. Whether a sworn Turkish translation is required and whether it must be notarised.
3. Whether all stamps and the apostille must be translated.
4. How recently the document must have been issued, and how many copies you need.
Thank you.
Confirm the required chain before paying
Identify the document's origin and intended use, obtain the correct authentication where necessary, and arrange the translation and notarial certification requested by the recipient. Consistent names, complete pages and the correct certification are often what determine whether a file is accepted for processing.
