Accepted documents differ by university, programme and application stage. Follow the institution’s own announcement.
A student can have suitable grades yet an unclear file: their name appears in two spellings, the transcript is incomplete, or the translation omits the reverse of a certificate. Preparing an application means turning separate papers into a clear, verifiable record. Work begins before the portal opens and continues through submission of originals at registration. “I sent everything” is not enough: know which version was sent, for which application, in which language, and what is still awaiting issue.
This guide concerns the file itself—collecting qualifications, organising versions, resolving inconsistencies and asking questions that prevent repeated work. Not every document applies to every student, and translation, equivalency and certification are not names for the same step. Separate current application needs from later registration requirements, retaining written explanations of unusual circumstances instead of expecting an admissions officer to infer them.
Preparing an application for study
Build a requirements matrix for each application
Copy document names from the programme notice into a worksheet, adding the submission stage, accepted language, required format and issuing body. For several universities, use a separate column for each rather than sending one universal package. Some permit a temporary alternative to the final diploma; others require a specified document. A CV or recommendation may be optional for one undergraduate application but compulsory for graduate study. “Optional” should become neither an excuse to omit required material nor an invented requirement. For example, Middle East Technical University’s list distinguishes scanned copies used for online applications from originals required after acceptance at registration, and general documents from those depending on applicant status. Sabancı University specifies an official transcript covering secondary-school courses and grades and describes additional supporting material. These examples show why each institution’s list matters; they do not establish one procedure for every public or foundation university.
Record when the notice was last checked and each document completed. If instructions change, note the amendment and what must be prepared again rather than silently replacing the old information. If a general page conflicts with a programme-specific message, ask admissions which instruction applies. A useful enquiry identifies the programme, cycle and document and describes the discrepancy. A general “What papers do I need?” after a list has been published often fails to resolve the actual issue.
Start with identity
Choose the identity reference required by the application and check the name, birth date, document number and citizenship exactly as recorded. Do not restyle or shorten a name yourself. Complete fields carefully, particularly where given name and surname are separated. If the full name cannot be entered or characters cause an error, retain a screenshot, redact sensitive information when seeking help, and explain through the official channel.Compare identity with certificates, transcripts and test results. Different name order or transliteration may need explanation, not alteration of the original. Ask the issuer to correct a genuine error or the university which document links different versions to the same person. Never edit out a name, grade or stamp. If a passport is renewed after application, follow the identity-update procedure and privately retain the previous version to explain the changed number, without sending unnecessary copies.
Diplomas, transcripts and temporary documents
A diploma confirms completion; a transcript details subjects and results during study. The institution may request them at different stages or both immediately. Check that the transcript covers the required period, identifies its issuer and includes all pages forming the official document. Do not upload only the page showing the average. Grading-system notes on a final page may be essential and should not be removed merely to reduce file size.If still in the final year, locate the policy for applicants awaiting graduation documents. METU’s list permits an official certificate of expected graduation containing the information required by the university, including the expected graduation date and expected graduation grades required by the university. MEF University indicates that applicants not yet holding their secondary diploma may receive only conditional acceptance. Neither makes a photograph of a school result or a self-written statement acceptable. Obtain the document from its educational issuer and check required content and replacement deadline.
For interrupted studies or transfers, construct an understandable sequence. Different transcripts may cover different years; a transfer-credit statement or reissued consolidated transcript may be needed where available. Do not calculate a personal average from several scales and present it as official. Preserve the issued grading system, using only a required conversion by the authorised body or published university method. A short explanation in the designated field does not replace a required document.
Translation, certification and equivalency have different functions
Translation conveys content in an accepted language; certification verifies a specified official aspect; equivalency or recognition addresses the qualification’s position within an education system. These steps may be combined, but completing one does not complete the others. Before paying, ask about language, translation type and whether certification is required at application or registration. Another student’s procedure may reflect a different issuing country, qualification, university or year.Even university examples differ. METU requests an official translation where an original is not Turkish or English, and states that secondary-school equivalency is not needed for application but is needed for registration after acceptance. MEF distinguishes application and registration documents and specifies translation and secondary-diploma equivalency requirements for registration. Instead of “equivalency is always needed before applying”, connect each procedure to the stage in your university’s notice.
Give the translator complete, legible copies and ask that institutional names, dates, stamps and notes be preserved. Check numbers carefully on return, especially birth date, average and graduation year. Query illegible sections instead of allowing guesses. Have translation errors corrected and officially reissued by the translator rather than editing the file yourself. Keep originals and translations together for comparison, including required certification pages without cropping them away.
Completing paperwork for study
Organise the digital package
Keep a secure master set, then copies prepared for each application. Use clear names identifying document type and year, and distinguish originals, translations and corrected versions. Names such as “latest final new” become confusing across applications. Archive superseded versions separately where needed to track changes, and avoid uploading them accidentally. This is a personal organisation method, not a mandatory naming convention for every portal.Scan on a flat surface in clear light, checking page edges, stamps and signatures. Follow the portal’s format and size limits, then reopen compressed files to confirm numbers remain legible. One university’s size limit does not apply everywhere. If original and translation must be combined, order them clearly; if separate fields are provided, use them. Deleting required pages to meet the size limit is not a solution—ask admissions about an available technical alternative.
| Document | Content check | Question to resolve |
|---|---|---|
| Identity document | Name, number, validity and legibility | How is it updated after submission? |
| Graduation certificate | Qualification, issuer and issue date | Is a temporary alternative accepted, and when? |
| Transcript | Complete years, pages and grading system | Must it be stamped or issued in a specified way? |
| Translation | Names, grades and dates match the original | Which language and certification are required? |
| Test result | Candidate, examination type and date | Is this test and result accepted for the programme? |
Check consistency before submitting
Open the form alongside the documents and compare every field with its source rather than memory. Check date formats and graduation versus certificate issue dates. Select the correct test type and do not enter an overall score in a component field. Read instructions for decimals or different scales. If the field does not fit your qualification, ask rather than rounding or inventing a conversion. A small error can make sound documents look contradictory.Preview each uploaded document where available and confirm it is the intended file. Saving an account entry is not necessarily submitting an application: look for submitted status, an application number and receipt. Retain confirmation and the final form privately. Do not share passwords with someone helping organise the file or post personal documents in student groups. A reviewer can check a list or redacted copy while originals remain within necessary channels.
Hypothetical example: a clear file despite a delayed diploma
Salma wants to apply to two programmes while her final diploma is still being issued. Her worksheet records that the first university allows a provisional document with specified content, while the second has not clarified alternatives. She obtains an official statement from her school and asks the second university whether it is accepted, without importing the first university’s permission. She also notices that the surname in a translation differs from the passport and returns it to the issuer for correction before uploading. The second office replies in writing with an accepted alternative and final-diploma deadline. Salma adds the date, checks the complete transcript and test result, and submits each application under its own requirements. This does not predict acceptance; it shows how clarity reduces document-related delay. If no alternative were permitted, she would need an appropriate later cycle or other choices under the instructions, rather than concealing the document’s status.
Practical checklist
Prepare a separate originals list before registration, protecting papers against damage and keeping readable digital copies. If an original is held elsewhere, record when it will be recovered and who follows it up rather than assuming availability before travel. After submission, keep proof of receipt where offered and note whether the university retains or returns the document. This prevents arriving with a complete digital file while an essential original remains in its issuing country.- Identify requirements for every university, programme and stage using the latest notice.
- Compare identity with qualifications, transcripts, translations and test results.
- Check complete pages, legible stamps, signatures and grading notes.
- Confirm temporary-document acceptance and final-document deadlines in writing.
- Separate translation, certification and equivalency and their specific instructions.
- Reopen compressed and uploaded files; keep the submission number and receipt.
- Record registration-stage requirements and store originals safely.
Final checks before submitting application documents
| Check | What to match | If there is a discrepancy |
|---|---|---|
| Identity | Name, dates and document number | Ask for entry guidance or correction by the issuer |
| Pages | Complete transcript, seals and notes | Prepare a complete, legible copy |
| Translation | Numbers and meaning against the original | Have the translator correct it |
| Submission | Submitted status and application number | Follow up through the official channel |
Organising documents and an online application

Application-document questions
Should I upload every certificate I own?Submit required documents first, then relevant supporting material in the designated field. Disorganised extras can hide important documents. Activity or training certificates do not replace an official transcript or required qualification. Follow portal limits and formats.
Is an English translation sufficient for any university?
There is no universal answer. Check accepted languages and translation certification at each stage, especially where application differs from registration. Obtain written clarification and identify the reason before paying for another translation.
What if I discover an error after submission?
Check whether the portal permits editing, then contact the responsible office with the application number, precise error and correct document. Do not automatically create a duplicate application or send conflicting versions. Confirm the correction method and retain the report date and reply so you know which version will be assessed.
Does acceptance of digital copies make originals unnecessary?
A university may assess digital copies but require originals for registration. Check delivery method and deadline, and do not post originals without clear instructions and tracking. Good preparation ends with understanding the next stage, not merely removing an upload warning.
