Customer retention starts with an accurate product description, understandable delivery and fair problem resolution, before any post-purchase discount coupon. A dispatch confirmation differs from a message selling another product, and a previous purchase does not give the store unlimited marketing permission. This guide organizes after-sales service, messages and consent management for a store serving the Turkish market, then links repeat purchasing to financial contribution. All figures and operational response times are hypothetical examples, rather than market averages or new legal deadlines. Legal rights remain independent of any loyalty or rewards program.

1️⃣ Make the first purchase experience the foundation for returning

Ask what makes customers hesitate to buy again: a product unlike its description, unclear sizing, unexplained late shipping or a complaint passed between employees. Reviewing these reasons is more useful than sending a generic offer to everyone who purchased. Keep a short record of complaint reason, product and resolution, then identify patterns that can be fixed.

Before payment, explain the product and photographs, expected preparation time, delivery costs and discount conditions. Make policies and contact details accessible without searching many pages. An exaggerated promise may win the first order and prevent the second; state what you can deliver and follow up on exceptions rather than only polishing the wording.

Assign someone to follow the order through closure and define how customers receive delay updates. After-sales service cannot depend solely on the salesperson, who may be absent when a complaint arrives. Open a file with one reference so any authorized employee can understand the latest action without making the customer repeat the story.

2️⃣ Map the customer journey and choose the appropriate message

Divide the journey into prepurchase, confirmation, preparation, shipping, delivery, possible problems and repeat purchase. Each stage has a practical question. Someone awaiting a parcel needs order status; someone who received it may need usage information or help. A discount cannot replace an answer about a late delivery.

Link each template to a genuine event. Do not send payment confirmation after failure; shipping notification does not mean delivery, and moving a complaint to another team does not mean closure. Use the order number and a trusted tracking link, preventing access to another customer’s details through a generic link or guessable identifier.

Assign an operational timing and owner to each template and test it on a trial order. Promotional content requires the appropriate marketing arrangements even if the subject calls it a service update. Separate templates make purposes and access rights easier to review.

3️⃣ Report delivery delays with usable information

When a delay appears, state the known status, latest step, what you are pursuing and when the next update will arrive. For example: tracking has not updated since the last recorded event; we have opened a carrier inquiry and will report the result at the specified operational time. Do not promise arrival tomorrow without a basis.

Separate the store’s chosen response target from legal rights and deadlines. You may adopt an internal one-business-day response target, for example, but this article does not make it a statutory deadline. Nonarrival or parcel damage needs a consumer-rights process alongside the carrier claim; do not leave the customer to chase service companies alone.

Use the agreed order language where possible and give brief tracking instructions. Review platform and carrier messages alongside yours so customers do not receive three contradictory statuses. Record the update text, time and information source, and revise the template when repeated questions reveal ambiguity.

4️⃣ Turn a complaint into a case with an owner and outcome

Identify the case type first: usage question, description mismatch, fulfillment error, damage or withdrawal request. These do not share identical conditions. Do not impose extensive photographs or unboxing video as a blanket condition that defeats a legal right. Request proportionate evidence useful to the case and explain alternatives if a document is unavailable.

Record the next action, owner and internal update time, then monitor execution. For a product return or refund, follow the current policy and rules applicable to the case. A coupon or store credit may be an additional optional offer, but cannot be imposed instead of a due cash refund or another right chosen by the customer.

Close the case when its outcome has been completed and recorded, rather than after a brief silence from the customer. Separate the cause from the quality of handling: an employee may resolve the case well while the product still needs a better description or packaging. Weekly cause reviews connect support with warehousing and purchasing.

5️⃣ Use sizing questions to improve the catalog

If length or width questions recur, add actual measurements, clear units and measuring instructions rather than ‘one size fits all’. Distinguish garment measurements from body measurements, state installation space for furniture and verified model compatibility for devices. Visual similarity alone cannot establish compatibility.

Group return reasons meaningfully without forcing customers into inapplicable categories. ‘Smaller than expected’, for example, differs from choosing another size. Review a sample with the product team: correcting a faulty chart may help every buyer, while individual apologies alone leave the problem recurring.

Do not publish customer conversations, photographs or details in public reviews without an appropriate basis and permission. Use patterns without exposing individuals. If requesting a product review, do not condition complaint resolution on a positive rating or comment removal. Good service must be provided independently, rather than becoming a condition for receiving a right.

6️⃣ Separate service notifications from marketing offers

A purely transactional purchase or delivery notification may fall within prescribed exceptions to prior commercial-message consent, subject to their conditions. Adding ‘buy now’ or a discount on another product changes the purpose. Do not hide promotion inside an order update to bypass permission.

Abandoned-cart, repeat-purchase and promotional greeting messages require marketing assessment even when the customer previously created an account. ‘Follow-up’ in the subject does not determine classification; review content, purpose and channel. Satisfaction and review requests depend on their design, and a survey without a discount is not automatically exempt.

Maintain separate service and marketing template libraries. Use the minimum necessary data and no promotional images in service templates. For marketing, identify the sender, message nature, offer conditions and opt-out according to channel and requirements. Review template changes before activation; copying a discount line from another template may change obligations.

7️⃣ Build consent and opt-out records that work across channels

A purchase, acceptance of a sales contract or entry of a verification code is not general marketing consent. Explain the purpose, entity and channels and provide a clear separate choice. KVKK Decision 2025/1072 emphasizes avoiding misleading combinations of membership, data-processing and commercial-message consent in one action, and not making marketing a condition of service completion.

Keep an auditable record of contact address, channel, permission status, time, collection method and displayed wording. Register consent and opt-outs in IYS within the applicable deadlines and rules; the Ministry of Trade’s 2025 statement specifies registration of consent and refusal notifications within three business days. If using an integration provider, verify its eligibility and appropriate authorization.

Provide an easy, free opt-out in each promotional message under channel requirements, and stop messages within three business days of receipt under the relevant rule. In practice, block them immediately where possible and update store and provider systems rather than waiting for another campaign. Email withdrawal is not permission to switch to SMS; check each channel’s status and purpose before sending.

8️⃣ Protect service data without collecting unnecessary detail

Delivery-address, payment and complaint data serve defined purposes under an appropriate processing basis. Explicit consent is not necessarily required for every processing activity: KVKK provides other conditional bases, such as contract necessity or legal obligation. A basis for serving an order does not automatically authorize every promotional use or disclosure.

Provide a clear processing notice and separate it from consent requests where required. Give employees only the data they need; do not leave complete customer reports in a shared file open to all teams. When sharing information with support or messaging providers, define purpose, access, retention, deletion and appropriate transfer arrangements.

Notes should describe the problem and action, avoiding personal judgments or sensitive details irrelevant to resolution. Do not request full identity documentation for an ordinary usage question. Review retention periods against actual obligations and rights, with a process for individual requests. Marketing refusal does not remove an independent basis for retaining invoices or protecting legal rights; separate purposes clearly.

9️⃣ Measure repeat customers in mature cohorts

Create a cohort of customers whose first retained order completed in a specified period, then follow each for an equal time from that first purchase. In a 90-day example, do not compare a mature January cohort with one formed two weeks ago. Under this definition, someone who canceled their only order is not a customer who purchased and returned.

The proportion of customers returning differs from their order count. Suppose twenty-five of one hundred customers return and place thirty-five additional orders. The returning-customer rate is 25%, and additional orders per cohort customer are 0.35; the return rate is not 35%. One person may place two or more orders.

Keep customer identification consistent, allowing for guests, changing email addresses and data limitations. Do not combine different people simply because they share a delivery address or claim perfect accuracy without a suitable method. Track the products and channels where cohorts started: frequently replenished products differ from long-life purchases.

B200406020%

⁦1️⃣0️⃣⁩ Calculate repeat-purchase contribution after program costs

For the first example cohort, assume the thirty-five additional orders generated retained revenue of 35000 lira excluding KDV. After goods, payment, preparation, shipping and related returns, contribution before retention-program cost is 9000. If messages, additional discounts not already counted and tools cost 1500, the remainder is 7500 lira before fixed costs, finance and taxes.

This is observed order contribution, not proof that messages caused every additional purchase: some customers would return without a campaign. Where a valid experiment is possible, compare an eligible group receiving an intervention with a similar group that does not, respecting consent and withholding no service or right.

Reflect coupons in order revenue after discount rather than deducting the same amount again as program cost. Separate compensation for an earlier problem from discounts intended to generate a new purchase. Discounting purchases that would have happened anyway can increase coupon use while lowering contribution. Focus on both money retained and customer experience.

⁦1️⃣1️⃣⁩ Choose limited, useful contact and review its outcome

Start with timing suited to the product rather than weekly messages to everyone. Consumables differ from furniture and long-life devices. Do not guess replenishment timing alone; examine the distribution of days between orders in mature cohorts, then test a limited appropriate message among customers with permission.

Where appropriate, exclude customers with open complaints or undelivered orders from automated repeat-purchase offers and prioritize their service. Monitor opt-outs, complaints and delivery quality alongside orders. Higher open rates do not establish satisfaction or program profitability; a customer may follow a message because of a problem or unclear promise.

Assign someone to stop a template when consent fails, a link breaks or complaints recur. Test opting out with a trial account and verify exclusion from the next campaign. Review wording, selection, timing and cost each cycle and keep a change log. Where no clear customer benefit exists, improving products and service takes priority over inventing a reason to message.

⁦1️⃣2️⃣⁩ Frequently asked questions and pre-message checklist

Can I send a discount to everyone who previously purchased?
A purchase alone is not general marketing permission. Check consent, purpose, channel, IYS records and applicable requirements, and separate the offer from order-service notifications.

Should delivery notifications stop when a customer opts out of marketing?
The refusal stops promotion under the rules. Pure necessary order notifications must be assessed under their separate basis and conditions; do not add advertising or a new offer.

Should I offer store credit instead of the due refund to retain the customer?
Offer it as an additional option where appropriate, but do not impose it instead of a refund right or due remedy. Retention based on obstructing rights increases disputes rather than improving experience.

✅ The previous order is complete and the customer’s problem is resolved.
✅ The message’s purpose is clear and service templates are separate.
✅ Permission fits the channel and records are current and auditable.
✅ Opt-out is easy and free, with a test preventing the next send.
✅ Cohorts have equal observation periods and consistent customer definitions.
✅ Contribution reflects discounts and costs without counting them twice.
