🧭 Closing an online store is not a single button. You may stop accepting new orders while parcels remain in transit, money is held by a marketplace or payment provider, returns await inspection, and invoices and data still need attention. Deleting the website and accounts first can remove your means of following these commitments before they are settled. Start with a clear decision, an open-case register and an accountable person who can continue communicating and documenting after selling stops.

This guide organizes the withdrawal of a store operating in Türkiye from everyday trading. It distinguishes closing a sales interface, ceasing taxable business and liquidating a company to end its legal existence. The suggested operational steps help prepare the file; official deadlines and tax treatment depend on the taxpayer, entity and triggering event. Do not apply a period for an invoice to all customer data, or make the closure announcement a condition that removes existing customer rights.

1️⃣ 🧭 Define what is closing and who remains responsible

📌 First state the intended outcome: a temporary pause in new orders, permanent closure of one website while another business activity continues, or cessation of the entire activity. Disabling a marketplace store does not necessarily close your independent website or tax registration. The sales channel can change while the legal seller remains the same. Record the business name, tax identifier and party with which the customer contracted, rather than relying on the brand displayed on screen.

🧾 Assign authority for each track: operations stops orders, finance reconciles money, the accountant reviews tax, and the legal representative or liquidator handles entity-specific procedures. An individual business does not have the same separation between its owner and an independent company. A company does not cease to exist merely because sales stop or its platform subscription is canceled; identify the correct termination procedure for its circumstances.

✅ If funds are insufficient to meet commitments, do not treat closure as an ordinary distribution of what remains to shareholders. Stop making promises you cannot fulfill, list creditors and claims, and obtain urgent legal and accounting assistance. This guide concerns an orderly voluntary exit; insolvency, litigation and a troubled partnership follow different routes from a financially sound store closure. Changing the website’s name or owner does not resolve debts.

2️⃣ 🗂️ Create a closure file with steps and evidence

📌 Before changing settings, collect orders, payment movements, parcels, returns, invoices, stock, contracts and recurring services. Keep a dated copy of the terms accepted by customers and the seller’s contact information. Give each case an identifier, owner, decision, amount, review date and completion evidence. Do not use “closed” as a blanket status that hides an undelivered order or a refund that was never completed.

🧾 Separate three dates in the plan: the cutoff for accepting new orders, the date the sales interface stops, and the legal or tax event from which an official deadline runs. They may differ. Choosing an internal date does not create a new deadline for a customer or authority. Give every task a completion condition, such as delivery evidence, a refund result or acknowledgment of a notification, rather than only an expected date.

✅ Carry out the plan in reviewable stages. Preserve access to records and the permissions needed by people resolving commitments, then reduce access as tasks finish. Test whether an old order, its invoice and correspondence can be retrieved from the retained copy before canceling the service that holds them. The following table is a suggested operational checklist, not a schedule of statutory deadlines; adapt it to actual channels, contracts and cases.

StageSuggested actionCompletion evidence
Before sales stopList cases and contracts; preserve recordsDated list and owner for each case
Stop new ordersDisable purchasing and campaigns across channelsChannel tests and clear notice
Resolve existing casesDeliver or refund; track returnsExecution reference and confirmed result
Settle and notifyReconcile funds and make required filingsMatched statement and filing evidence
Close accessReadable archive; cancel appropriate servicesHandover record and access log

3️⃣ 🛑 Stop new orders without cutting off customer service

📌 Review the website, marketplaces, payment links, conversational selling and recurring subscriptions. Disabling the home-page buy button alone does not prevent an order from an old link, automated campaign or another channel. Stop campaigns, advertising feeds and messages promising product availability. Test the paths as a customer would, and confirm that no new order is created or charged after the announced cutoff.

🧾 Publish a short notice explaining that new orders have stopped, how existing orders will be handled, and where inquiries and returns should go. It can say: “We are no longer accepting new orders; contact the stated channel with your order number about an earlier purchase.” Include correct seller information and realistic service hours. Do not publish customer data or turn the service notice into a final promotion that confuses service communication with marketing consent.

✅ Keep a help page and working email or contact channel for as long as commitments require. If the return address changes, verify that parcels can actually be received and notify the affected customers. “The store is closed” is not a response to a complaint. You can stop new account creation while providing a secure way for customers to obtain necessary documents and follow their orders, rather than leaving every store function running without a purpose.

4️⃣ 📦 Give every existing order an evidenced outcome

📌 Group orders as unpaid, paid but unprepared, prepared, handed to the carrier, received, or delayed/problematic. Match the system status to reality: creating a shipping label does not prove carrier collection, and a refund notice does not prove a successful refund. Prioritize cases with a delivery commitment or an existing claim, then assign who communicates with the customer, approves the resolution and verifies the outcome.

🧾 For paid unfulfilled orders, check whether you can meet the original commitment before suggesting a new date or substitute. Do not replace goods or convert money to store credit unilaterally. If the problem cannot be resolved, follow the cancellation and refund route applicable to the case. A stock shortage does not automatically establish legal impossibility; your commercial decision to stop does not create a general exception to contractual rights.

✅ For parcels already moving, follow tracking, evidence of delivery or return, and associated costs. Also list prepaid cards, vouchers, balances and services whose use was previously sold; review their terms and associated rights rather than technically extinguishing the balance. Send each customer an order-specific outcome they can retain, and do not request a full card number or password to follow up. Close the case when the resolution is evidenced, not when the order disappears from the dashboard.

5️⃣ ↩️ Keep returns, complaints and disputes actionable

📌 Store closure alone does not change rights under contracts already concluded. For consumer distance sales, the general withdrawal period is fourteen days from delivery of goods or conclusion of a service contract, subject to exceptions and specific rules. Distinguish withdrawal from defective goods, warranty and non-delivery; do not automatically apply consumer treatment to a business-to-business purchase. Check the contract and product before determining the procedure.

🧾 Maintain separate lists for expected returns, received returns, approved refunds, completed refunds and complaints awaiting a response. Record the reason, customer-notification date, goods-receipt date and inspection outcome; each event can matter. Do not cancel customer-support services before transferring cases and the contact route. Agree with the parcel recipient on a receipt log, necessary photographic evidence and assignment to the responsible case owner.

✅ If a card Chargeback arrives during closure, collect the order file, any earlier refund, payment reference and provider-specific response deadline. Do not issue a second refund without reconciling it with the dispute, or use the dispute to suspend an established customer entitlement. Confirm handling with the payment provider and record the actual outcome. Keep a budget and case owner for matters remaining after the storefront stops; operational shutdown does not mean every possible claim has ended.

6️⃣ 💳 Reconcile money before terminating payment services

📌 Start with statements for each marketplace, payment provider and bank account. Link the order to collection, invoice, refund, commission, reserve and payout, then investigate differences rather than calling them all losses. A dashboard balance is not necessarily available to withdraw, and a bank payout can combine orders from different periods. Retain the currency, reference and date for each movement, with an explanation of what remains pending and who confirms its resolution.

🧾 Ask the provider in writing what happens after merchant-account closure: refunds, disputes, settlement reports, reserve release and any continuing fees. Timing depends on the contract, case and provider; this guide does not prescribe one period for everyone. Arrange refund funding and the route for receiving the final payout with the bank and accountant before terminating necessary services. Do not assume closing a financial account must be the first step in closing the website.

✅ The following is a hypothetical operating example in lira, not a provider statement or a profit-and-tax calculation. It starts with a balance before the listed movements; after refunds of three thousand, a reserve of two thousand and fees of five hundred, the expected payout is six thousand five hundred. If that amount does not arrive, check references, periods and additional movements. A reserve is not automatically a final expense, and the refund must be linked to the customer record and invoice under the appropriate accounting treatment.

Hypothetical itemValue in liraWhat to verify
Balance before the following movements12,000Period and underlying orders
Customer refunds3,000Refund references and execution results
Reserved amount2,000Basis and release condition
Documented fees500Contract and expense document
Expected bank payout6,500Settlement reference and bank statement

7️⃣ 🏷️ Close stock movements and warehouse contracts

📌 Stop unnecessary purchasing and automatic replenishment, then count stock by SKU, storage location, condition and ownership. Separate saleable goods from order allocations, returns, damaged items and stock owned by others. Platform quantities can differ from shelves or an external warehouse, so setting a quantity to zero is not a substitute for counting. Document what left, who received it, what returned and what remains, with an owner for any discrepancy.

🧾 For a Fulfillment service or independent warehouse, review termination notice, storage, preparation, withdrawal and return-shipping charges. Agree on the final collection date, stock handover and treatment of returns arriving later. Obtain a handover list and reconcile quantities and condition; designate a usable address after vacating the warehouse. Canceling access to the service dashboard does not necessarily cancel storage invoices or permit abandoning stock without written settlement.

✅ Determine the treatment of inventory and equipment with the accountant: documented sale, an accepted supplier return, withdrawal of assets, or damage treatment appropriate to the case. Each has consequences; donation, destruction and discounted sale are not interchangeable. Correct record discrepancies with genuine documents rather than invented movements. If the company or another sales channel continues, state where the asset moved and for which activity. Moving boxes home is not by itself a proper tax cessation.

8️⃣ 🏛️ Separate tax notifications from company liquidation

📌 Confirm with an SMMM accountant which event constitutes cessation of business, rather than using only the date the website is switched off. GİB explains that a temporary stop is not cessation and that cessation includes addressing inventory and assets. VUK requires cessation and change notifications within one month of the event. Check applicability and filing evidence through Dijital Vergi Dairesi or the appropriate route; do not turn that month into a universal period for completing all closure procedures.

🧾 For a company entering liquidation, tasfiye, the liquidation decision differs from completion and removal from the register. Tax obligations continue until tax-related transactions have ended, and the liquidation decision and completion are notified separately. Coordinate entity decisions, registry and MERSİS procedures, the liquidator and creditors with the appropriate professional. Do not distribute a remaining balance based on the store dashboard before company-specific settlements and procedures are approved.

✅ Request a written list of outstanding returns, payments, invoices and corrections, and what is required to discontinue e-Fatura and e-Arşiv services without losing documents or blocking necessary processing. If there are employees, premises permits or a lease, add the appropriate employment, social-insurance, municipal and contractual tracks rather than assuming they end automatically. A foreign owner should separately review the consequences for their status and permits; store closure alone does not determine residence or work status.

9️⃣ 📚 Retain records for the right periods with a named custodian

📌 VUK253 requires those subject to its tax-book and document-retention duty to keep the covered records for five years starting with the calendar year following the relevant year. TTK82 specifies ten years for defined commercial-record categories, with commencement tied to the year the document arose or the last entry was made. Do not start one universal clock on website-closure day, or treat expiry of the tax period alone as permission to destroy every file.

🧾 Create a retention register identifying the document category, basis, period, starting point, custodian, storage location, retrieval method and review date. Preserve electronic invoices and the files needed to verify them, settlement statements, terms and order-related correspondence as required for each category. Test reading and searching outside the provider dashboard before canceling it. Do not assume a screenshot or abbreviated spreadsheet is an adequate replacement for the original document.

✅ Retention needs an accountable custodian after operations end, not a link sent to a departing employee. An individual merchant leaving trade retains the papers required by the provision; TTK82 includes special arrangements when a legal entity ends, including custody by the civil court of peace. Coordinate the legally appropriate handover with the liquidator and adviser, and record who responds to document requests. Consider litigation, inspections and specific obligations before periodic destruction.

⁦1️⃣0️⃣⁩ 🔐 Separate account closure from data disposal

📌 Under KVKK, personal data is erased, destroyed or anonymized when all legal grounds for processing cease. Store closure or withdrawal of marketing consent does not necessarily remove the basis for retaining a required invoice or an active claim file. Conversely, a mandatory invoice-retention duty does not justify keeping all browsing behavior and marketing notes forever. Classify data by purpose and basis instead of choosing either “keep everything” or “delete everything.”

🧾 Separate the restricted obligations archive from shopping accounts and marketing lists. Dispose of, or otherwise appropriately handle, data whose purpose has ended under the applicable policy and circumstances, and schedule reviews of information retained on another basis. Stop unnecessary automation and shared files; review copies held by hosting, support, analytics and warehouse providers. Do not transfer the customer database to a brand buyer or a new venture as though it were merely a commercial asset: data transfer needs a separate assessment of its basis, notices and conditions.

✅ Log data-subject requests and the assessment of each category, explaining what can be erased and what must be retained and why, rather than sending a blanket automated answer. Set a procedure for backups so that information designated for disposal is not restored to active use, and retain suitable disposal evidence. Ensure the archive custodian can receive requests after closure, with reduced permissions and secure retrieval. Removing the interface does not remove responsibility for managing the data that remains.

⁦1️⃣1️⃣⁩ 🧩 Update ETBİS and terminate services in the right order

📌 If the website activity is registered in ETBİS, review the correct site record and stopping decision. The instructions distinguish Faaliyeti Durdur followed by Siteyi Geçici Kapat for a temporary pause from Siteyi Kalıcı Kapat for permanent closure, which the portal warns cannot be reversed. Keep evidence of the status and action; do not use permanent closure to test a temporary option. Updating this register does not replace a tax notification or company deregistration.

🧾 Then review the platform, payments, warehouse, invoicing, email, domain, hosting, apps and subscriptions. Each contract can have different cancellation, renewal and data-export conditions. Retain services necessary for follow-up and the archive, cancel unnecessary ones with execution evidence, and check subsequent invoices for continuing renewals. Do not leave a domain or email used by customers unmanaged, or depend on a former employee’s access to a service that is supposed to be closed.

✅ Review İYS lists, marketing tools and employee and contractor access. Stop campaigns and integrations that no longer serve a purpose, while retaining legally necessary evidence of processing and commitments. When someone leaves the team, transfer their responsibilities to the authorized owner without sharing personal passwords. If another activity continues or the site moves to another party, document the change and required procedures rather than describing a service transfer as complete closure.

⁦1️⃣2️⃣⁩ ✅ Questions before declaring closure complete

❓ Can the website be deleted immediately? Disable new ordering, then confirm how existing cases will be followed and documents retrieved. A limited help interface may be sufficient instead of a full store, but the decision depends on obligations and security. Test that a customer can identify the contact route and the responsible person can locate the order file before canceling the service that held it.

↩️ Does closure cancel a refund or card dispute? Do not treat an interface change as a financial resolution. Check the reason and status of each claim, any previous refund reference and its result with the provider, and preserve an owner, funding and an appropriate processing route. Settlement or a claim can continue after the last sale; document outstanding items and who follows them rather than declaring every account finished.

🔐 Must all customer data be erased on closure day? Classify it first: an ended user account, a necessary tax record, a claim file or marketing data. Each category has a basis, purpose and review. Do not use mandatory-retention data for a later campaign, or retain a complete operational copy because some invoices remain necessary. Explain the decisions and log their execution.

🏛️ When is the business legally closed? The answer differs for a stopped sales channel, a ceased individual business and a company in liquidation or removed from the register. Collect evidence of procedures, tax matters, contracts and record handover; do not rely on one dashboard status. Creditors, employees and a foreign owner require review of the relevant status and rules, not a universal period borrowed from another store’s experience.

✅ What is the final test before handing over the file? Select an old order and trace its invoice, payment, shipment and any refund or complaint, then choose a stock item, a retained document and a canceled service. Check the evidence, owner and review date for anything outstanding. When exceptions are known and assigned to a named person, operations can close with confidence. Unfinished matters remain documented commitments, not forgotten details.
