🤝 Choose a Supplier You Can Work with Repeatedly
Clear identity, a matching sample, invoices and practical purchasing terms

Turn the supplier agreement into provable specifications, prices and conditions.

A low price alone does not select a store supplier. You need batches matching customer descriptions, invoices linked to stock, dependable dates for delivery promises and a defined procedure for defects or differences. A supplier successful in a small trial may not be ready to deliver larger quantities to the same standard.

This guide organizes a commercial purchasing file for physical products from a supplier in Türkiye. It separates identity verification, product inspection, brand rights and contractual terms. Comparison figures are entirely hypothetical rather than market prices, fees or quality guarantees. The aim is an executable purchase order and evidence of the agreement before transferring money.

1️⃣ 🏭 Identify the supplier's role

Establish whether you are dealing with a manufacturer, distributor, wholesaler or intermediary combining offers from other sources. Each affects timing, modifications, traceability and handling differences. Proximity to manufacturing may help establish specifications, but the counterparty also needs order and document management capacity; its name alone does not prove this.

Ask about product sources, storage and replenishment. For mixed batches, ask how material, size and color remain consistent. With an intermediary, establish who issues invoices, receives money and answers shortage or defect complaints.

A warehouse location or employee's language does not identify the contracting entity. Record its legal name, the speaker's capacity, contact details and transaction address. Ensure the written offer reflects the actual relationship, especially when advertising uses a brand but sales and invoices belong to another entity.

2️⃣ 🔎 Verify identity without treating it as a guarantee

Request details appropriate to the supplier's status, such as trade name, tax number, registration, address and representative. Turkish trade-register tools and notices can connect names to registration information, recognizing that supplier form determines appropriate documents. Do not demand joint-stock-company documents from a differently constituted supplier and conclude it is unlawful.

Match the document issuer to the payment beneficiary and formally clarify material differences before transfer. Verify changed accounts or payment requesters through a previously verified contact channel; a new message alone should not change agreed payment arrangements.

Registration supports identity checks but does not prove every batch's quality, financial capacity or product safety. Keep identity findings separate from samples, contracts and technical documents. These layers complement rather than replace one another.

Representative's authorityDocument or authorized confirmationCannot be assumed from email alone

3️⃣ 📐 Specify both the sample and batch

Define material, dimensions, color, pack quantity, included items, labeling and packaging. Some differences emerge in use rather than supplier photographs: different lengths, an opening unsuitable for its function, missing parts or materials inconsistent with descriptions. Use inspectable specifications rather than 'excellent' or 'first grade.'

Request a sample matching the goods to be purchased and record its date and source. Test use, dimensions and packing, consulting specialists where category testing exceeds your capabilities. Personal experience does not replace required certificates or technical procedures.

Agree how the batch will be compared with approved specifications and how material differences will be addressed. Retain clear photographs and a sample or measurement record linked to the purchase order. Do not automatically accept substituted material or sizes merely because the name is unchanged; assess effects on the page, customers and price.

4️⃣ 💰 Compare total costs for the same quantity

Request a written quotation specifying product, quantity, currency, price validity, preparation and delivery time and included services. Ask minimum quantities per variant: an acceptable overall quantity may hide excess sizes customers do not need. Compare taxes and services on the same basis with the accountant.

The following hypothetical example purchases fifty units. Offer A has a lower unit price, but selected extras bring analytical cost to five thousand six hundred lira, or one hundred and twelve per unit. Offer B totals five thousand five hundred, or one hundred and ten per unit. Figures are educational after standardizing tax treatment, rather than actual quotations or defect-rate forecasts.

Do not treat a hypothetical quality-difference allowance as a judgment about the supplier. Use actual trial costs when available and record included items. A higher-cost offer may merit selection for more reliable specifications or supply your business needs, but document the reason rather than relying on general impressions.

Sample and batch inspections protect the store's customer promise.

5️⃣ 🧾 Connect invoices to stock and origin

Request purchase documentation identifying the entity, goods, quantities and amounts under the appropriate system. Link it to received stock and sold products rather than retaining a generic invoice that does not distinguish items. Agree discount, correction and return treatment with the accountant instead of preparing unsuitable documents.

Shipping from Türkiye does not itself mean goods were manufactured in Türkiye. Obtain appropriate information and documents for origin claims, exports or another country's procedures. Do not list a country on pages or packaging solely from the supplier's address. This also matters when suppliers import foreign goods.

Maintain a practical link between purchase batches, stock and orders for description differences, defect reports or marketplace document requests. Update identifiers before selling if brands, packaging or pack quantities change; invoices, barcodes and pages should describe what customers actually receive.

6️⃣ 🏷️ Separate goods sales from brand and image rights

Check authenticity, sources and invoices connecting the supply chain, then verify channel and category conditions and listing rights. Do not claim authorized-distributor or exclusive-agent status without supporting permission. These claims differ from resale of genuine goods and are not established solely by a purchase invoice.

Ask about using supplier photographs, texts and logos, defining permission scope where necessary. Owning goods does not mean owning every associated marketing asset. You can photograph products yourself while respecting rights and accurate descriptions rather than copying a competitor's page.

For private labels, check names and trademarks before printing packaging quantities and consult a specialist over similarities or disputes. A registered trade name differs from a trademark file; one does not settle the other. Nor should you claim every resale requires distribution authorization: assess the circumstances, channel and intended claim.

7️⃣ 🛡️ Request a safety file matching the actual product

Identify the category and required documents, instructions and warnings, obtaining those matching the purchased model and specification. A certificate for another product or a mark pictured on packaging does not prove every quantity under the same name meets requirements. If you cannot assess this, consult a suitable specialist before launch.

Distance-offer rules require product and safety information, and the Ministry publishes category-classification guidance. Prepare this with suppliers during purchasing rather than waiting for marketplace requests after page upload. Use required warnings and information in the appropriate language according to the goods' applicable rules.

Arrange traceability for suppliers, batches and affected products. If a risk or safety-relevant difference appears, stop the relevant activity and follow the appropriate procedure with specialists and authorities. Do not send differing goods to customers and address documentation afterward merely because the batch was paid for.

8️⃣ ↩️ Agree on defects and commercial returns

Purchasing goods for resale is a commercial transaction, so consumer withdrawal rules for distance contracts do not automatically apply. Purchasing capacity, purpose, law and contract determine rights and procedures. Request written terms covering shortages, defects, differences and delays while respecting applicable rules.

Specify notification methods, evidence, transport-cost responsibility and possible remedies: replacement, correction, discount or refund according to the circumstances and agreement. Distinguish differences found at batch receipt from complaints after customer sales. Supplier agreements do not suspend all customer rights until the supplier agrees to compensation.

Prepare scenarios before purchasing: different colors, missing parts, defects across several units or delays preventing delivery promises. Obtain clear answers and retain them with the quotation. 'We will resolve it later' does not specify timing, responsibility, documents or financial treatment.

Base replenishment on actual quality, fulfillment and cost.

9️⃣ 📦 Inspect receipts before offering the batch for sale

On arrival, record quantity, condition, specifications, packaging and documents. Isolate goods needing inspection before treating them as saleable and link them to the batch and supplier. Order pressure should not mix inspected products with differing unreviewed units.

Compare material characteristics with the reference sample, clearly recording shortages, damage and differences. Suspected wider problems require an appropriate inspection scope rather than assuming the first unit represents everything. Sampling methods and specialized tests require product-appropriate expertise.

Notify the supplier with facts, claims and documents, observing agreed and applicable notification deadlines without inventing a universal legal period. Update quantity status and financial treatment. Do not promise customers units from disputed batches before determining what can be delivered as specified.

⁦1️⃣0️⃣⁩ 🕒 Examine deadlines, currencies and price changes

Agree preparation and delivery dates and what starts the lead time, such as specification approval or payment receipt. 'Fast' does not replace a known date or condition. Ask what happens if materials run short or quantities change because these affect customer promises.

For prices in another currency, document currency, conversion source and value-fixing date under the agreement, with accountant review of the transaction. A rate displayed for personal purchases is not a guaranteed commercial conversion rate. Include transfer commission in batch costs where it actually applies.

Define what cannot change without approval: material, size, packaging, brand, quantity and price. Request a new quotation for material changes, then recalculate order contribution. Availability alone is insufficient if purchase costs exceed what your advertised offer can sustain.

⁦1️⃣1️⃣⁩ 🔄 Evaluate the supplier after the trial before reordering

Compare promises with delivery: specifications, quantities, documents, dates and responses to problems. Use batch facts rather than counts of apologies or courtesies. Attractive prices may be outweighed by the time and money spent repairing each shipment.

At replenishment, confirm specifications, prices and fulfillment terms remain valid. An old order is not an open-ended contract for every later batch. Confirm repeated and changed terms, linking the new order to a clear sample or reference. For larger quantities, check capacity to sustain quality and deadlines.

Prepare alternative sources for important goods without sacrificing conformity. Do not list alternative-source products under the same description before inspection; similar images do not prove matching material or size. Diversification helps when organized and recorded in stock information rather than concealing product differences from customers.

⁦1️⃣2️⃣⁩ ✅ FAQs and supplier-approval checklist

❓ Does trade registration guarantee supplier quality?
It supports identity verification. Quality and fulfillment require samples, conditions, trials and batch inspection.

❓ Is the lowest unit price the cheapest?
Compare total quantity costs, transport, preparation and differences on an equal basis, then calculate the saleable unit.

❓ Do consumer return rules apply to purchases for resale?
Do not automatically transfer them to commercial purchasing. Identify contractual capacity, terms and applicable rules.

✅ Counterparty identity and representative capacity are clear.
✅ Samples and specifications are documented.
✅ Quotations, currency and deadlines are written.
✅ Invoices, documentation and appropriate rights are verified.
✅ Batch receipt and problem handling have assigned owners.

Approve suppliers when purchasing can be repeated and you can explain the response to differences. Continue comparing when prices, quality or service capacity change while protecting customer commitments.
